Tuesday, April 25

BALLROOM SET-UP ASSISTANTS

Tuesday, 11:00 a.m. – 2:00 p.m.
Set up presentation locations: post signs and organize materials.
Report to UC Ballroom Lounge at your scheduled volunteer time.

EVENING FLYER DISTRIBUTORS

Tuesday, 7:00 p.m. – 10:00 p.m. (1-2 hr. time commitment)
Hang fliers throughout campus that announce “URCAD TODAY.” Each volunteer is assigned to specific buildings or an area of campus.
(NOTE: E-mail April Householder (aprilh@umbc.edu) to arrange a time on MONDAY 4/24 to pick up your posters in Sherman Hall, Room #114-G.)

URCAD

Wednesday, April 26

Volunteers report to UC Ballroom Lounge to pick up a name tag and receive a briefing on your role(s).

MODERATOR CHECK-IN- UC Lobby Main Table

8:30 a.m. – 1:00 p.m.
Welcome faculty moderators and student presenters and provide them with materials. Call for help if any presenters or moderators are missing.

VOLUNTEER CHECK-IN- UC Lounge

9:00 a.m. – 3:00 p.m.
Welcome volunteers, check them off on the schedule, give them a job description and briefing. Call for help if key volunteers do not arrive on time.

BUTTON BRIEFING PERSON

9:00 a.m. – 3:30 p.m.
Welcome button volunteers. Give a detailed briefing, including demonstration and practice, of correct buttoning. Issue buttons. Circulate to button locations to support volunteers and see where staffing should be adjusted.

FOOD TABLE MONITORS

9:00 a.m. – 3:00 p.m.
Ensure the food table is neat, orderly and supplied at all times.

GREETERS/PROGRAM DISTRIBUTORS- UC Lobby Main Table

9:00 a.m. – 4:00 p.m.
Staff the general information table to answer questions about the event and distribute programs and pens.

PRESENTER CHECK-IN- UC Lobby Main Table

9:00 a.m. – 1:00 p.m.

Check off names of student presenters as they register, and give them their name tag.

BUTTON VOLUNTEERS

9:00 a.m.- 4:00 p.m.
Place an URCAD button on each attendee, allowing us to get a count of total attendance. Will be located at UC back door, elevator, stairs, two Ballroom entrances, and two entrances to PAHB.
Button Volunteers should be outgoing and energetic people!
(NOTE: Largest number of volunteers are needed for this role.)

PHOTOGRAPHERS

8:15 a.m. – 5:00 p.m.
Take pictures of presenters and audience at URCAD venues around campus. Photographers must have use of a digital camera. (Room assignments will be based on the photographer’s schedule. Must attend a meeting with Michael Mower beforehand.)

RESEARCH INFORMATION TABLE STAFFERS- UC Lobby Table

10:00 a.m. – 4:15 p.m.
Interact with attendees, providing information about how to get involved in research.
(NOTE: An information session will be held in early April to prepare table staffer volunteers.)

AV MONITORS

(UC 310, 312, 204)
OUE will provide a computer outfitted with all (PowerPoint) presentations for use in each room. The AV operator will review file names, and test operations before 9 am (for morning sessions) and before 1 p.m. (for afternoon sessions). Queue each PPT for use by the appropriate presenter and troubleshoot technical problems when required. Assist each presenter with their presentations as needed. (Ex. click slides forward for presenter if optical clicker should fail)

HELPERS AND RUNNERS

8:00 a.m. – 5:00 p.m.
Set up: Arrange information tables and material before presenters and guests begin arriving.
Runners: Help program operate smoothly by delivering materials or messages and filling in as needed.

PAHB GREETERS/BUTTONERS

10:00 a.m. – 11:30- Dance Cube

1:00-3:30 p.m.- Dresher Center Conference Room 216

10:00 a.m. – 3:00 p.m.- front door
Seaters must be comfortable being assertive yet professional/friendly individuals. They are needed to direct people to their seats, cajoling and prodding them if necessary to fill in the seats far from the door first, and slowly filling in the middle of the rows while ensuring no empty seats between people. This is a very short, intense assignment.

WRAP-UP VOLUNTEERS

3:30 p.m. – 5:00 p.m.
Collect posters, remove materials, ensure equipment is returned to proper locations, etc.

Thursday, April 27

FOLLOW-UP ASSISTANTS

9:00 a.m. – 11:00 a.m. (Will accept assistance during other times as requested.)
Return poster boards and easels, deliver supplies to other offices, recycle paper posters, remove flyers/posters from around campus, etc.
(Report to Dr. Householder in Sherman 114.)
